EHR & EMR Compatibility

Will this work with my existing EHR system?

Yes. Your private shelf runs alongside your existing EHR/EMR. We do not replace your software - we replace where it runs. Whether you use Epic, Cerner, Athenahealth, eClinicalWorks, NextGen, or any other system, it installs and operates exactly the same on your private infrastructure.

Most Texas practices we serve run Epic or Cerner. Both work seamlessly. Your staff logs in the same way, uses the same interface, and follows the same workflows. The only difference: your data is now on a server in your building that you control.

Which EHR systems do you support?

Running on your private shelf, these systems often perform faster than cloud-hosted versions because there is no internet latency between your workstations and the server.

Do I need to retrain my staff?

No. Your EHR interface stays exactly the same. Staff use the same login credentials, same shortcuts, same screens. The only change they might notice is faster load times.

We do recommend a brief 30-minute orientation to show staff the new backup procedures and who to call for support (our 24/7 team, not the EHR vendor).

Migration & Implementation

Will we experience downtime during the migration?

Minimal to zero downtime. We plan migrations for nights or weekends when your practice is closed. Most cutovers happen in 4-6 hours during a single evening.

For larger practices with complex setups, we may do a phased migration (billing first, then clinical) to ensure continuity. We have never had a practice miss patient appointments due to migration downtime.

How long does the migration take?

From signed agreement to go-live: 2-4 weeks for most practices.

  • Week 1: Assessment and hardware procurement
  • Week 2: Hardware delivery and configuration
  • Week 3: Data migration and testing
  • Week 4: Go-live and staff orientation

Larger multi-location practices may take 6-8 weeks.

What happens to our historical patient data?

All data comes with you. We migrate complete patient records, billing history, appointment data, imaging, lab results - everything. Your EHR database is transferred intact to your private shelf.

We also create a point-in-time backup of your cloud EHR before migration begins, just as an additional safeguard. You never lose access to historical data.

HIPAA Compliance & Security

Is this HIPAA compliant?

Yes - more compliant than cloud. When you own your infrastructure, you control every aspect of HIPAA compliance:

  • Encryption at rest and in transit (AES-256, TLS 1.3)
  • Complete audit trails of every data access
  • Role-based access controls you manage
  • Physical security - server is in your building
  • No third-party vendor access to your data

Cloud vendors claim HIPAA compliance, but you share liability with them. When they get breached, you are still responsible. With your private shelf, you are the only one with access.

What about backup and disaster recovery?

3-2-1 backup strategy included:

  • 3 copies of your data (production + 2 backups)
  • 2 different storage types (local SSD + network storage)
  • 1 offsite backup (encrypted, to our Texas data center)

If your server fails, we can restore from backup in under 2 hours. If your building has a disaster (fire, flood), we can spin up your environment from offsite backup within 4 hours.

How do you protect against ransomware?

Multiple layers of protection:

  • Network isolation: Your shelf is not connected to the public internet like cloud servers
  • Immutable backups: Backups cannot be encrypted by ransomware
  • 24/7 monitoring: We detect suspicious activity before it spreads
  • Air-gapped recovery: Clean restore points isolated from production

In 2024, when a major cloud EHR vendor was hit by ransomware, our client practices kept running. Their data was not on the compromised cloud infrastructure.

Pricing & Ownership

What does this cost?

Two-part pricing:

  • One-time hardware investment: You purchase the server infrastructure upfront. This is a capital expense, not a monthly rental.
  • Monthly service fee: Covers 24/7 monitoring, security, backups, maintenance, and support for your private shelf.

Exact pricing is discussed on your discovery call. Every practice is different - size, specialties, number of locations, and current systems all factor into the quote. We do not publish generic pricing because we believe in giving you an accurate number based on your specific needs.

Do I own the hardware?

Yes. From day one, the server infrastructure is yours. You are not renting it from us. If you ever decide to stop using our monitoring service, the hardware stays with you and you can manage it yourself or hire another IT provider.

We structure it this way because we believe medical practices should own their infrastructure, not rent it forever.

Is there a contract or commitment?

12-month service agreement for monitoring and support. After 12 months, month-to-month with 30-day notice.

The hardware is yours regardless. Many practices see 40-60% IT cost reduction in year one, so most stay long-term. But you are never locked in.

What if something breaks?

We support your private shelf infrastructure 24/7/365. This includes the server hardware, network connectivity, backups, and security monitoring. Call or text us anytime at 469-252-7016.

Our response times for infrastructure issues:

  • Critical issues (server down, no network access): 15 minutes
  • Urgent issues (slow performance, backup failures): 1 hour
  • Standard requests (configuration changes): Same business day

Important: We do not provide desktop support or end-user IT support. Your EHR vendor or existing IT provider handles workstation issues, printer setup, user training, and desktop troubleshooting. We focus exclusively on the private infrastructure that runs your back office.

Who maintains the system?

We maintain the private infrastructure. Your monthly fee includes:

  • Server hardware monitoring and maintenance
  • Security patches and updates for the infrastructure
  • Network performance optimization
  • Backup verification and disaster recovery testing
  • HIPAA compliance auditing of the infrastructure

What we do not cover: Desktop support, workstation troubleshooting, printer setup, EHR user training, or end-user IT help. Your EHR vendor or existing IT provider handles those. We focus exclusively on the private shelf that powers your back office.
